Building a future-proof IT organisation

The IT divisions of the Erasmus University Rotterdam are working on restructuring the IT organisation as part of Operational management 2013 programme (BV 2013).
In December 2011, the heads of the organisational units have informed the Executive Board about the advice of their local participation body, as well as about their own reaction to the advice. The opinions of the participation bodies are positive about the deployed path and they have provided useful advice. The Board will forward the documents to the University Council and to EUROPA. In due course, the Executive Board will inform the heads of the organisational units about the final advice of the University Council and the opinion of EUROPA whether a social plan for the reorganisation is necessary.
Photo Survey provides insight into current IT organisation
After more than three months of hard work, the Photo survey is completed in December 2011. The outcome is the statistical basis for the next phase of the reorganization of the IT organization. All IT divisions participated in the study. The outcome is an overview of the present IT organisation in the areas of ‘finance’, ‘personnel’, ‘services/applications/products’, processes’, and ‘other’. The final report of the survey is discussed with everyone involved. All deans and directors approved, with exception of the University Library. In consultation with the Executive Board, the University Library has indicated that - because of the impending reorganization of their own division – she cannot participate in the IT reorganization in accordance with the agreed timeschedule. The University Library will establish the desired restructuring of the IT organisation at a later time in consultation with the SSC ICT.
Continuation of the integration of the IT organisation
In the next phase of the integration of the IT units the reorganisation plan will be drawn up. The reorganisation plan describes the envisaged change of the organisation in detail including the objective and tasks of the new organisational-unit; the personnel numbers; the qualities required from the personnel and an estimate of the extent of the consequences for the existing personnel. The outcome of the Photo survey is part of the input for the reorganisation plan.
In February more is known about the next phase of the reorganisation process. By that time, all stakeholders will be further informed.
