Account Management

Every member of staff of the ESE will be given access to the various network resources through a personal ESE account:

  • Log on to ESE computers
  • Access to your ESE Mailbox
  • Access to your ESE Calendar
  • Access to your Personal network folder "My Documents"
  • Access to Shared network folders
  • Access to network printers

Account Sponsors

The IT department of the ESE strives to maintain a well-organized management of these accounts. At the moment the ESE account is not automatically created from the personnel database, therefore "account sponsors" (Office managers or departmental secretaries) have been appointed for each department to be the sole contact for all matters regarding new accounts or accounts in process of termination.

Requests for new staff accounts

To request new staff accounts account sponsors need to fill out, sign and then deliver our ESE account request form to IT Support, room H04-32. An ESE staff account name consists of 5 numbers (from the Personnel ID) and 3 letters (from your name), for example 12345abc; the associated ESE email address will bear the user's official name possibly preceded by initials, for example avandetest@remove-this.ese.eur.nl.

If the Personnel ID of the new member of staff is not known at the time of the request, only a temporary guest account can be created. the departmental account sponsor needs to request a full staff account when the Personnel ID becomes available. Depending on circumstances  it is also possible that the account sponsor requests an extentions of the guest account expiration period.

Account sponsors will be notified by email once the request has been processed; account sponsors are also timely notified of expiring accounts, to act upon in case the expiration period needs to be extended.

External Teaching Staff

The Office manager should timely arrange a hospitality agreement (Gastvrijheidsovereenkomst) for external instructors of ESE courses who are not employed by the ESE. With this hospitality agreement the external instructor will get the accounts and email address needed to gain access to the computers and information systems of the ESE/EUR.

Requests for guest accounts

Guest accounts are available to visitors of the Faculty who are on campus for a short period of time (no more than 2 weeks) and who need to log on to the computers of the ESE network for internet access in order to perform their duties. These accounts, contrary to normal staff accounts, do not include ESE email inboxes, nor do they come with ERNA accounts for access to EUR-wide resources.

Requests for guest accounts are to be submitted by the account sponsor or the departmental secretary in an email to IT Support, containing the following information: full name of the guest concerned, room and telephone number where the guest account is to be used and the period for which the guest account is to be valid. All accounts, including guest accounts, are strictly personal, and are not to be transferred to others.

Activating accounts

New members of staff need to personally activate their user accounts at IT Support, room H04-32 by entering a password of their own choosing. We may ask them for a legitimate ID. Requests for setting/changing passwords by email, telephone, fax, or otherwise will be not honoured.

Use of accounts

User accounts are strictly personal. It is never allowed to use accounts of other members of staff or place one’s own account at the disposal of someone else. Neither is it allowed to use existing accounts while awaiting your own. It is possible though to grant others permissions to one’s own files and folders or mailbox. Please contact IT Support for assistance, if needed.

ERNA-accounts and EUR Information Systems

The ERNA account (Erasmus Remote Network Access)is technically a seperate account to log on to the EUR information systems (MyEUR, Blackboard, SIN-Online, University library,EUR VPN connection to the library etc.). An ERNA staff account will be the same as the ESE account, but followed by the suffix @eur.nl, for example 12345abc@remove-this.eur.nl.

It is our policy to never supply usernames and passwords neither by email nor by telephone, as we cannot verify the identity of the one who is requesting this. You will have to apply in person at Support, room H04-32, in order to enable the account with an initial password. (Please bring along a legitimate photo-ID)

Termination of accounts

Expiration messages will be sent to account sponsors for all accounts which are to expire within 5 weeks. This message is automatically generated and sent by mail. If no action is taken, the user will notified two weeks later, in time to contact the account sponsor if neccessary. And just before the actual expiration date the account sponsor will receive a final notification.
Account sponsors must notify IT Support by email if accounts are to be extended. NOTE: a direct “reply” from this automatically generated message will not go to Support, unless the “To” field in the reply message is changed to: support@remove-this.ese.eur.nl

Please note

  • The database of the Personnel Department is the primary source for accounts. A user account is maintained for as long as the contract of employment concerned with the ESE is valid.
  • A guest account can be arranged for guests who will be staying at the ESE for a short period of time without an employment contract, in order to provide logon to the ESE network. No ESE email addresses are available for these accounts.
  • Central EUR systems (Blackboard, SIN-online, Osiris, etc.) are only accessible for members of staff who are duly registered in the Personnel database of the University. If temporary guest need to access these central systems a hospitality agreement should be arranged with the Personnel Department.
  • Different rates apply for external members of staff (e.g. employed through other entities) when costing IT Support charges.
