Shared Mailboxes
Outlook
In Outlook at the ESE workplace, using shared mailboxes is fairly straightforward: the shared mailbox(es) you have access to will be automatically ‘discovered’ by Outlook, and shown in the Folder List. Note that this discovery process will take some time after starting Outlook for the first time, it will take approximately 1 minute to show all mailboxes you have access rights to.
Note that there is no subscribe/show or unsubscribe/hide option available, so all mailboxes and subfolders where you have access to, will be visible.
To get access to a shared mailbox, your office manager will have to send a request to add your account to the access list for that particular mailbox.
Outlook Web App
Using the Outlook Web Application from home, you can only see one mailbox at a time, so you’ll have to switch to another mailbox using the ‘rolldown menu’ indicator to the right of the ‘current mailbox’ name (in the upper right corner of the window). Then simply type the (first part of) the name of the mailbox you want to open, select that mailbox, and click on ‘Open’.
Note that to open another shared mailbox, you’ll have to use the above method to first open your personal mailbox (search for your e-mail address, not your name), and from there open the other shared mailbox (because a shared mailbox usually does not have access rights to another shared mailbox).
Sender Address
If you previously created extra IMAP accounts in Outlook, for enabling extra return adresses with your ESE shared mailboxes: this is no longer neccessary with Exchange server. If you reply to a message in a shared mailbox, the sender address will automatically be set to the e-mail address of the shared mailbox. If you want to create a new message with another sender address, please click the "Options" ribbon in the (new) message window and select the "Show From" option. Now the "From" field will display above the "To" field. You can change the sender address by clicking the "From" button and selecting the desired (shared) mailbox from the Global Address List. Of course, you'll only be able to use the address of mailboxes you have access permissions to. Note: it will not work to just type the shared e-mail address in the "From" field, you have to select the mailbox from the Global Address List (otherwise you'll receive an "Undeliverable" message).
