How much leave am I entitled to per calendar year?
232 Hours on a full-time basis.
I am older than 50. How much leave am I entitled to?
The following leave entitlements apply to the various age categories:
- 50 through 54: 10 extra days
- 55 through 59: 15 extra days
- 60 years and older: 20 extra days
Note: all leaves are proportional to the scope of your working week.
If I work part-time, how much leave am I entitled to?
You can easily calculate that yourself by dividing 232 hours by your weekly work scope.
For example 232 x 0.6 FTE (3 days per week) = 139.2 hours, rounded upwards = 140 hours of leave.
Can I transfer the leave days to the next calendar year?
No, you forfeit all the remaining leave days / hours.
Can I get additional leave days?
Yes, you can purchase maximum 10 extra leave days via the Selection Model governing Employment Conditions. For full information, click here.
Do I need to hand in my annual leave card at the end of the year?
Yes, if there are leave hours that are written off for the benefit of the Selection Model governing Employment Conditions, then you will have to submit a fully filled in and initialled card.
Can I work between Christmas and New Year?
No, the university uses a collective closure regulation. You are therefore obliged to take free days. For additional information concerning the collective leave days, click here.
What are flexible working hours?
There are three variants:
- Flex 36: you work 40 hours per week, your leave balance is 17 days, 4 compensation hours per week
- Flex 38: you work 40 hours per week, your leave balance is 29 days, 2 compensation hours per week
- Flex 40: you work 40 hours per week, your leave balance is 41 days, 0 compensation hours per week For the complete regulation, click here.
Does the rule of flexible working hours apply to me?
Yes, this applies to everyone except for student assistants.
If I want to use the option for flexible working hours, what should I do?
You can declare this at the beginning of each calendar year by ticking the option on your annual leave card. If your employment began in the course of the year, you will have to indicate your choice as soon as possible after you start your job.
Within the Flex 36 variant, can I also work 4 days of 9 hours?
No, this is not possible.
I am using the Flex 40 variant, but I would now like to switch to another variant. Is that possible?
Yes, provided that you indicate this at the beginning of the calendar year (changing in the middle of the year is not possible).
How many leave days can I deploy in the framework of the Selection Model governing Employment Conditions?
Maximum 10 leave days (regardless of whether you work full-time or part-time) provided that the registration of your leaves is updated. For more information about exchanging sources for targets, click here.
What is the value of a leave day?
The value established for 2009 is 5.3504% of your full-time gross scale amount (for part-timers this will also have to be based on the full-time gross scale amount). For the calculator, click here (only in Dutch).
For what purposes can I deploy my leave days?

Can I for example also use my holiday allowance or my end-of-year bonus as sources for the Selection Model governing Employment Conditions?
Yes, that’s possible. You can select 1 or more sources at the same time.
To the best of my understanding, I can be reimbursed for Internet use at home. Is that true?
Yes, this is true up to a maximum amount of € 40 per month including VAT. If you need a fixed telephone connection and this is not included in your subscription, you can be reimbursed up to maximum € 9.95 (include your telephone bill). For the complete conditions, click here.
Can I also be reimbursed for the rest of my telephone costs?
No, that’s not possible. If your provider offers both Internet and telephone, you can be reimbursed only for the Internet costs.
Am I eligible for reimbursement of my commuting costs?
Yes, provided you are not a student assistant nor work here as part of a hospitality agreement. For the complete regulation, click here.
How much is the reimbursement for commuting costs?
That depends on the distance you commute and the actual number of days per week that you are present at the university.
I work from home one day per week. What does that mean in terms of reimbursement of commuting costs?
That means that you can be reimbursed only for the remaining working days.
Sometimes I have to travel outside of the university for an appointment. Can I be reimbursed for the travelling expenses?
In principle, you can be reimbursed for these expenses if you have the permission of your manager. For this purpose, contact the Financial Department.
Can I get an advance on the expenses for a business trip abroad?
In principle, you can receive an advance on these expenses after receiving permission from management. For this purpose, contact the Financial Department Special leave.
If a family member passes away, do I get any free time?
This depends on your relationship to the family member. For specific information, click here.
If a friend of mine is getting married, do I get any free time for this?
No, you can get free time only if it concerns a close family member.
I am not married, but I have a registered partner. Am I entitled to a special short-term leave?
Yes, wherever the term ‘marriage’ appears, you may interpret it also as ‘registered partnership’.
How many special leave days am I entitled to get if I get married or go to have a partnership registered?
In both cases you get the same amount of leave time, namely 32 consecutive hours of leave, depending on the scope of your working week. For all the circumstances in which you are entitled to receive a short-term leave, you can click here.
Can I receive a leave for registering at a notary public or for getting a marriage license?
Yes, you get a leave of maximum 8 hours for this purpose.
Do I have to get a leave for visiting a dentist?
No, you receive the necessary hours for visiting a dentist, doctor and a specialist, provided that these appointments are not possible outside of your working hours.
I became very ill during my holiday. What should I do?
You would need to see a local doctor who has to provide you with a declaration concerning your illness. When returning to the university, you have to submit this declaration immediately to the management. Management will then consider whether the days in question will be regarded as leave days or as sick days.
Can I take parental leave?
Yes, every parent is entitled to take parental leave, provided that the child has not reached the age of 8 and that parental leave for this child was not taken previously (this also applies if you had already taken parental leave for this child while employed elsewhere). Can I get a leave if I adopt a child?
Yes, any parent who adopts a child is entitled to a maximum 4-week paid leave. For the complete regulation, click here.
When is my salary paid?
Each month around the 25th. For the exact payment data, click here.
How much is my holiday allowance and when is it paid?
Holiday allowance is 8% and it is paid with your regular salary every year in May.
How much is my end-of-year bonus and when is it paid?
The end-of-year bonus is 8.3% and it is paid with your regular salary every year in December.
Does the Erasmus University have collective healthcare insurance?
Yes, there is a scheme at the Zilveren Kruis Achmea. You can get the information package from the P&O department.
I would like to resign. What must I do in order to resign?
You can give your manager a written notice to that effect by sending a letter or by filling in the form for a self-initiated dismissal. It is also advisable to contact the P&O department in order to find out whether there are further steps that you have to take. For more information, click here.
Do I have to do anything else following my dismissal?
No, you receive a final settlement of your salary (including the holiday allowance and end-of-year bonus that you have accrued up to that point). The year after your dismissal you will receive an annual statement. Take note! If you move after your dismissal, you will have to notify the P&O department of this.
I participate in the employee saving scheme. Does this have any consequences if I resign?
Yes, you have to indicate in advance whether you want to invest the maximum saving amount permitted in that calendar year.
