Regulation on Reimbursement of Moving Costs

Ex article 3.21 CAU-NU

1.  Employees of the Erasmus University Rotterdam (herinafter: EUR) in principle are free to choose their place of residence. However, the Executive Board or the Manager could ask or compel an employee to live close to the Woudestein university complex.

2.  An employee of the EUR is reimbursed for the costs of moving if:

  • a. At the moment of starting employment the party has to travel more than 75 kilometres (one-way trip) from home to the Woudestein university complex,
  • b. The party moves to a place which is located maximum 25 kilometres (one-way trip) from the Woudestein university complex,
  • c. Due to entering employment, the Executive Board or the Manager compels the employee to move, and
  • d. Moving house occurs within one year after entering employment.

3.  Reimbursement of house-moving costs consists of - per household - :

  • a. Reimbursement of the actual cost of moving all household effects,
  • b. A fixed amount of 12% of the annual pay. The minimum amount is the maximum salary in scale 6 and with the understanding that the amount does not exceed the limit set by the treasury (in 2009: € 7,750).

4.  The reimbursement - as referred to in artice 3 sub a - is equal to the costs that will be necessitated. The application for this reimbursement should be accompanied with three quotes and the level of the reimbursement shall be maximum equal to the lowest quote (regardless of which moving company is selected).

5.  The reimbursement - as referred to in article 3 - is not taxed if the employee concerned moves to a residence situated maximum 10 kilometres (one-way trip) from the Woudestein university complex. It is taxed if the travelling distance is more than 10 kilometres.

6.  An employee who has been requested or compelled to move because - in the opinion of the Executive Board or the Manager - he/she cannot commute back and forth each day, has the right to reimbursement on the lodging costs in the vicinity of the EUR up until the day of moving. The reimbursement is maximum € 500 per month. The employee forfeits this right if - in the opinion of the Executive Board or the Manager - the employee has not made all reasonably expected efforts to move as quickly as possible.

7.  The ANWB Route Planner is used for determining the travelling distance (the postal code of the Woudestein university complex is 3062 PA).

8.  If within two years after moving the employee is dismissed - whether by his/her own request or due to circumstances attributed to the employee - or if within two years after the moving date the employee moves once more to an address more than 25 kilometres from the Woudestein university complex, the employee is required to repay the entire amount that was reimbursed for moving costs.

9.  The Executive Board and the Manager reserve the right to grant reimbursement of moving costs in situations outside of the aforementioned stipulations.
