Induction policy ESE

The purpose of the induction policy is two-fold. On the one hand, it is intended for making a new employee feel welcome at the ESE and on the other hand, it is for helping him/her[1] get oriented faster inside the organisation. The entire induction programme is intended for each new employee who will be employed by the school for at least one year. Employees who are employed for a shorter period or student assistants are free to participate in any part of the total programme. The director/head of the department will inform the P&O department if an employee who will be working for less than one year is interested in participating in the ESE induction meeting. The induction policy consists of the following parts: 

1. Induction in the department
2. Mentoring programme
3. Induction folder
4. ESE induction meeting
5. Examination of the workstation
6. Review meeting (after 4 months)

Below is a short explanation of each part. 

1. Induction in the department

On the first working day the employee is welcomed by the manager. The employee gets an explanation of the practical matters in the department, where the First Aid assistants can be found and where the escape routes are located. The manager gives additional information about the department’s induction programme. For example, he will explain how appointments with direct colleagues are planned and gives an explanation about the role of the secretariat.  

2. Mentoring programme

The new employee is paired with a mentor/contact person. The purpose of the mentoring programme is that the employee has an initial contact point for specific questions. The mentoring programme lasts at least 3 months and during this period there is contact between the employee and the mentor/ contact person at least once a week. The manager will appoint a mentor/contact person or will fill this role himself.  

3. Induction folder

On the first working day the department makes sure that the new employee receives an induction folder. This is a folder with general information about the school and if necessary, the department. The P&O department supplies the induction folder. The department can add department-specific information to the folder. 

4. ESE induction meeting

Induction meetings are held approximately three times per year. The ESE induction meeting has an informative part and an interactive part. The dean gives a welcome speech in which he tells about the history and the future of the ESE. Furthermore, information is provided about the education and research programmes of the ESE and there is a guided tour of the campus. The interactive part consists of a workshop about a current subject within the ESE. The meeting will be completed with a lunch.

5. Examination of the workstation

Within one month after commencing employment a health & safety officer from the P&O department is sent to examine the workstation. The officer will advice about the best way to set up and use the workstation. The manager of the department in which the employee works will decide whether it is necessary to acquire new office furniture or assistive devices. 

6. Review meeting (after 4 months)

Four months after commencement of employment the department conducts a discussion with the new employee in order to evaluate and round off the induction period. It is recommended to have the mentor/contact person conduct this meeting and if desired, a member of the P&O department will be present. A discussion format supplied by P&O is used as a guideline for the review of the induction programme. This is forwarded to the P&O department for its records. If desired, this session can also be used to discuss whether the new employee’s work has been started up satisfactorily. If a report is required, then the performance evaluation form can be used.
