Vocabulary

  • Call for papers

A conference sends out an invitation to indicate that papers may be sent in. Taking into consideration the acceptation rate of the conference and the amount of response to the call for papers, the editorial board of a conference decides consequently who will be invited to give a presentation, poster session or will be published in the conference proceedings.

  • Colloquium

A colloquium consists of a single lecture given by a researcher about his work. The attendees are usually direct colleagues in the same field or an allied field, who can ask questions, give comments and evaluate the work. A colloquium is usually given in the early stages of research.

  • Conference proceedings

Conference proceedings are bundles of the accepted papers from the scholars that contributed to the conference, and are usually published after the conference. Because they were written by different authors, these papers have no other connection than the theme of theconference. Sometimes, only a selection of the best papers is bundled into conference proceedings, and sometimes the authors of the best papers are asked to submit their paper to a special issue of an international academic journal.

  • Keynote speaker

The keynote speakers are usually experts in their field; their speeches state of the art science. Keynote presentations are held in plenary sessions, with all participants of a conference present, usually at the beginning and/or end of a conference or of a conference day. Keynote speeches are long presentations (30 – 90 minutes). They often include time for questions from the audience, panel discussions or plenary discussions.

  • Notification of Acceptance

After a researcher has responded to a call of papers, he/she can either receive a notification of acceptance or non-acceptance. A notification of acceptance can vary from strong to weak accepts, and one can be accepted to give a (regular or short) presentation, a workshop, a poster session or a place in the conference proceedings.

  • Poster session

Poster presentations provide an opportunity for researchers to present their research to all participants of the conference. A poster presentation consists of a poster (usually according to a format provided beforehand) which briefly describes a research project. It states the aim, approach and results of a research project. They provide an opportunity to present the results of research, without requiring the work of writing a full paper. Most of the time, there is a special area in the conference facility where the poster presentations take place.

  • Symposium

A symposium is often as a synonym for (academic) conference. However, a symposium is usually characterized by a more open discursive or discussion, rather than a one-way lecture or presentation.

  • Track (single/multiple)

The presentations are often organized into tracks. In a track, various presentations with a common theme are presented and discussed. Most conferences have multiple tracks or ‘parallel sessions’. In a multiple track conference, different sessionsare held simultaneously (usually in large conferences with multiple rooms), while in a single track conference all sessions are successive.
