IFLA Satellite Meetings – Cancellations and Refunds Policy
Participants may cancel their participation to any of the IFLA Satellite Meetings by providing a notice of cancellation not less than thirty (30) calendar days prior to the day of the event. Registrations cancelled at least thirty (30) calendar days prior to the day of the event will receive a full refund. No refunds will be given for cancellations received after said deadline.
In order to be effective, all cancellations and refund requests shall be made in writing via email at email@example.com and shall specify the name of the requesting participant as well as the name, date and time of the IFLA Satellite Meeting concerned. All refunds will be issued to the account that made the original payment.
Participants will receive a confirmation of receipt of their cancellation notice via email. All refund requests will be processed as soon as possible.
Leaving any of the IFLA Satellite Meetings early, for any reason whatsoever, will not entitle the participant to a refund for the unused portions of the event and no refund will likewise be issued in case of failure to attend the event.
Registration name changes and substitution of participants are allowed as long as they are notified to the University Library by sending an email to firstname.lastname@example.org at least seven (7) calendar days prior to the start of the event.
For the IFLA Satellite Meetings that are also held online (hybrid meetings), participants who originally registered for the in-person meeting may request to attend the event remotely by sending an email to email@example.com at least fifteen (15) calendar days prior to the start of the event concerned.
The program of any of the IFLA Satellite Meetings is published as an indication only. The University Library reserves the right at any time to make any changes to the program, including, but not limited to, the right to change the selected speakers, content, schedule, timing and venue of the event concerned.
If any of the IFLA Satellite Meetings or any portion thereof cannot be held or is postponed due, directly or indirectly, to any cause or circumstance beyond the reasonable control of the University Library, or due to events that are not attributable to unlawful intent or gross negligence of the University Library, or due to other unforeseeable events that render the execution of the event either impossible and/or not worthwhile or that would lead to the University Library incurring unreasonable expenses in the execution of the event, the University Library cannot be held liable by the participants for any damages, costs, and/or losses incurred, such as transportation costs, accommodation costs, costs for additional orders, financial losses, lost profits, etc. In such circumstances, participants will be granted a full refund of their registration fee.
For the IFLA Satellite Meetings that are only held in-person, if the event cannot be held as an in-person meeting due, directly or indirectly, to any cause or circumstance beyond the reasonable control of the University Library, including, but not limited to acts of God, earthquake, flood, drought, storm, lightning, fire, explosion, war, armed conflict, terrorism, riot, civil disturbance, embargo, acts of civil or military authority, epidemic, pandemic, breakdown of public utilities or public infrastructures, changes of law, statutes, regulations or any other legislative measures, acts of governments, supranational organizations or other administrative or public agencies, orders or decrees of any court, or any other cause which would make it impracticable, inadvisable, illegal, or impossible to hold an in-person meeting, the University Library reserves the right to move the event to an entirely virtual format, if possible on the same dates, or, otherwise, at a later announced date. In the event of such a change, all participants who originally registered for the in-person meeting will automatically be considered registered for the virtual meeting. If any of the participants decides to cancel participation following the change to a virtual meeting, or if the virtual event does not take place, the other provisions of the Cancellations and Refunds Policy as described above will apply.
