FAQ online proctoring

This page deals with a number of frequently asked questions about examinations during the corona crisis - and specifically online proctoring, which we will be introducing as a monitoring instrument.

Online proctoring allows invigilators to monitor students during remote examinations. This is done by asking the students to identify themselves prior to the examination and subsequently make a recording via the monitor, webcam and microphone of the student's device, plus the camera of the student's mobile phone. 

The goal of the recording is comparable with the normal process of invigilation during examinations on a fixed location. The goal is to make sure the examination takes place according to the rules and requirements and no violations take place.

If your exam is taken remotely with online proctoring, the surveillance during the exam takes place via the camera and microphone of your computer/laptop and the camera of your mobile phone instead of an invigilator who is physically present. There is also live support available via chat to support you with any technical problems.

  • A well-functioning laptop or a desktop computer with (external) webcam, microphone, a charger and Google Chrome installed
  • A mobile phone with well-functioning camera and charger
  • A stable internet connection (minimum upload speed 1,5 Mb p/s, check with e.g. www.speedtest.net). We advise you to get your computer connected to a LAN cable as this provides more stable internet. Another alternative is to use your phone as internet hotspot.
  • Location requirements: a well-lit room in which you are alone and can focus on the exam. 
  • Be creative: borrow hardware, agree with roommates on ‘silent’ time slots, etc.
  • Permitted aids. Your teacher will inform you which aids are permitted.
  • A valid student card. If you do not have a student card, due to the fact that you either lost your student card or only have a digital student card, you are also allowed to use another valid ID.  In that case, you are advised to cover any personal details except for your name and photo.

If you are sitting a remote exam, university staff will contact you beforehand to test whether your device (e.g. a laptop or computer) and the camera of your mobile phone satisfy the technical requirements for a remote examination. This is the so-called system check. After completing the system check you will receive the link to the exam via email. If you haven’t received the system check please contact the exam organisation via ASK. If you encounter technical problems during your system check you can contact the ProctorExam chat. The chat can be found in the ProctorExam tab in the down right corner under the text: “We are here”. Please start your question in English.

  • When it’s time to start your exam, you can click on the link to your exam. You can find this link in the email sent to you by ProctorExam. You only receive this email when successfully completing the ProctorExam system check. You can log-in to ProctorExam 15 minutes before the start of your exam
  • After clicking on the link to your exam you will be guided through the set-up procedure of ProctorExam. Here your two cameras and microphone will be turned on, you will be asked to identify yourself and you will have to complete a room scan. After you have set up your system you can click on the link to your digital exam. You can start the exam on the previously communicated time.
  • If you encounter any problems during your set up procedure or during the exam, please contact the ProctorExam chat. The ProctorExam chat can be found in the ProctorExam tab in the down right corner under the text: “We are here”.  There will always be someone from both ProctorExam and the Erasmus University to answer your questions. Please start your question in English. 
  • After finishing your exam first submit and close your digital exam where after you can end your recording in ProctorExam.

Before you can start an exam with online proctoring the exam has to be set up in both the digital exam software as in the online proctoring software. In a team of your faculty contact person digital examinations, the exam organization, E&S, Risbo and the lecture this can be arranged.

EUR sets strict requirements for all its suppliers in relation to security and privacy. The EUR has signed a processor agreement with the supplier and has executed a Data Protection Impact Assessment (DPIA) to see how data are handled and to take the necessary measures to minimize the risks.

For the contracting there has been a close cooperation with the privacy officers of the EUR. The EUR has signed a processor agreement with the supplier and has executed a Data Protection Impact Assessment (DPIA) to see how data are handled and to take the necessary measures to minimize the risks. In using the software for examinations on a distance by online proctoring the following data of the participants are stored: the name, the email address, the student number, a recording of the activities on the computer screen, a recording via webcam of your surroundings during the examination, including participant’s face, a recording via video camera of participant’s surroundings.

The video recordings will be stored within the European Union (Frankfurt, Germany).

Yes, each examination will be evaluated by one or more invigilators (called proctors).

Correct: each examination will be reviewed in its entirety, from start to finish.

Recordings that are not flagged for instances of possible fraud will be deleted after six weeks, including the back-ups.

The final assessment of the video footage is always done by EUR employees. For the first fase of reviewing invigilators or the supplier or subcontracts of the supplier may be used. It is technically possible to train EUR-employees to take care of the full process. This will however take time and require further experience to gain expertise.

All Individuals are subjected to a background check before being hired as proctors.

In addition to the remote proctors, the recordings can also be accessed by authorised EUR staff members. Examples include the lecturer who set up the course and examination in question, or Examination Board staff.

No, third party invigilators only have access to the video materials they have to assess.

Yes, you have to. It is strongly preferred to identify yourself with your university student card. If you have lost your card, it is also possible to use your passport or identity card as proof of identity. You must cover up sensitive personal data such as your personal identification number (BSN) when identifying yourself for the examination.

The application only has access to the search history of your browser during the exam. This is done to check if you're only visiting allowed URLs during the exam.

If students have reasonable objections against taking part in an examination with online proctoring, they have the opportunity to submit a reasoned request for an alternative examination facility to the Examination Board. The Examination Board will weigh the weight of the objection and may decide to offer an alternative facility. As we are currently in the corona crisis it could take time to offer an alternative solution, it might take until next academic year to offer an alternative solution.
