Introduction

As the new facilities officer, you work a minimum of three days per week. Situated in the Dean’s Office of Rotterdam School of Management, Erasmus University (RSM), you ensure an optimal, safe and well-functioning working environment for staff and visitors. 

In this role, you combine hands-on operational facilities coordination with stakeholder communication, supplier management and administrative responsibilities.

You report to the facilities and services manager and you support and, when required, cover selected demand-management activities to ensure continuity of services within RSM.

Key responsibilities

As facilities officer, your responsibilities include the following:

  • Ensure a safe, functional and pleasant working environment for RSM staff by coordinating day-to-day facilities services
  • Act as a primary operational contact for facilities-related matters within RSM
  • Communicate with internal stakeholders and external suppliers regarding the needs, changes and planning of the Facilities department
  • Identify space-related requirements such as furniture, building repairs, relocations and facilities supplies
  • Coordinate and plan facilities changes, such as:
    • prepare requests and seeking approval from the facilities and services manager
    • place orders in line with EUR procurement regulations
    • receive, check and distribute supplies and equipment
  • Maintain facilities-related stock and equipment and monitor usage data
  • Manage and coordinate outsourced work with the EUR Service Desk and other suppliers
  • Prepare, coordinate and support internal office moves and workplace changes
  • Support basic IT and facilities setup, such as connecting computers, electric desks and office equipment
  • Carry out light handyman and practical facilities tasks within the school, such as maintenance of the pantries, deep cleaning office furniture, etc.
  • Attend regular operational meetings as needed. 

Demand management support

In addition to operational coordination, you carry out the following:

  • Support and, when required, provide temporary cover for selected demand-management activities, such as:
    • intake and coordination of facilities requests
    • stakeholder communication on status, timelines and dependencies
  • Ensure continuity of services during peak periods or staff absence
  • Escalate complex or strategic issues to the facilities and services manager. 

Job requirements

As our facilities officer, you have the following:

  • Good written and spoken English and Dutch
  • Proven experience in a similar facilities or operational role
  • Experience within an educational or complex organisational environment is an advantage
  • Proactive, solution-oriented and hands-on mindset
  • Strong organisational and multitasking skills
  • Clear communicator with strong stakeholder management skills
  • Team-oriented and service-minded
  • Strong computer skills: Windows competent
  • Ability to work independently while aligning closely with the facilities manager and team.

Employment conditions and benefits

We offer you an internationally oriented and varied job in an enthusiastic team, with excellent working conditions in accordance with the Collective Labour Agreement for Dutch Universities (CAO-NU).

This position is for 0.6 fte - 0.8 fte. and we would like you to start as soon as possible. Your main workplace is Campus Woudestein in Rotterdam at Rotterdam School of Management, Erasmus University (RSM). 

The salary is dependent on your experience and knowledge and ranges from a minimum of € 3,004 to a maximum of € 3,465 gross per month at Scale 5 on a fulltime basis (38 hours), in accordance with the CAO-NU. 

We offer you a contract for an initial period of one (1) year. This contract can be converted into an employment contract for an indefinite period if suitability is proven and, if continued in the same position, when financial and/or organisational circumstances remain the same.
