Privacy Statement of the Rotterdamsch Leeskabinet

This is the privacy statement of The Rotterdamsch Leeskabinet with Chamber of Commerce registration number 40342010, established at the address Burgemeester Oudlaan 50, 3062 PA in Rotterdam.

The RLK handles personal data with due care and acts within the limits of the law, including the General Data Protection Regulation (GDPR).

Use of personal data
If you enrol as a member of the Rotterdamsch Leeskabinet, we ask you to provide personal details. These details are filed and are used to inform you about our lectures and other activities by means of mailings, newsletters and through our website. Our organisation keeps a register in which personal data, i.e. names, addresses, town of residence, phone number, e-mail address, date of birth and gender of the members are recorded. Your gender is stored so that we can address you correctly in any correspondence.

Uses

The RLK uses personal data for the following purposes and processes:

• to enrol members

• to contact members

• to send members information by post or newsletter (via Campaign Monitor)

• to perform the financial administration in Exact Online

• to organise lectures and activities

• for the lending and borrowing administration in Worldshare (OCLC)

• to gain insight into the reading pattern. By analysing lending and borrowing statistics, we can improve our services and the composition of the collection. The data used for this purpose are anonymised wherever possible.

Retention period

We retain your personal data as a member and as a former member for 2 years after your membership has ended. For documenting the history of the association, only the names of former members and former board members are kept after this period. These are only used for scientific and historic purposes.

Data protection

Only the people who need the information have access to your data. The data is processed by staff from the financial administration from The Rotterdamsch Leeskabinet. For the lending and borrowing administration, staff from the University Library also have access to your data. The suppliers of our administration systems have signed a declaration that guarantees the protection of your data online.

Sharing data with third parties
Your personal data will not be leased, sold or shared in any other way with or provided to third parties, unless you have given personal consent to do so. The newsletters to members and non-members are sent via Campaign Monitor, for which you subscribe and unsubscribe yourself.

Your rights
Your data will only be used if you give your explicit permission for this. You will always be informed of the purposes for which your data are used, which data are involved and to which parties these are provided. If you give permission for the RLK to use your personal data, you may always withdraw this consent at a later date. 
You have the right of access, right to rectification, erasure and to restrict processing of your personal data in accordance with the provisions of the Data Protection Act. If you wish to use one of these rights, please contact us by leeskabinet@eur.nl

Amendments
This privacy statement may be amended. The current version is dated 24 May 2018.
